How to prepare your data
Supply the design as a PDF with the variable areas left blank, plus a spreadsheet (Excel or CSV) with one row per item and one column per field – for example First name, Surname, Company. Mark on the design where each field goes and what font and size to use.
- Check spellings and capitals; we print what is in the sheet.
- Remove blank rows and duplicate entries.
- Watch for long names that may not fit – tell us how to handle them.
Proofing
Before the full run, check a sample with a few records, including the longest name in the list. Personalised items cannot be reused if a name is wrong, so time spent checking pays off. See the payment and proofing FAQ.
Every product page lets you pick a lead time. Economy takes about five working days and costs 10% less. Standard takes about three working days and is the price you see listed. Express is ready the next working day for 20% more, and Same-day costs 30% more for eligible items that are ordered, paid and print-ready by 09:00 on a weekday.
Same-day is priced high on purpose. If you can give us a few days, Economy or Standard saves you money.
Pricing
Variable data jobs are quoted, as the price depends on the item, quantity and how much changes on each piece. Request a quote with a sample of your data.
Placing your order for variable data printing: everything is done online – choose the specification, pick Economy, Standard, Express or Same-day where offered, upload your file and pay. We accept card payments through Yoco and EFT; anything under R5,000 is paid upfront, and R5,000 or more needs a 65% deposit. We message you when the job is done so you can collect from Rivonia Central in Oriental City, or we arrange delivery to your door at a quoted price.
